What Are Work Hours?
Your work hours are the time between clocking in and clocking out, less unpaid breaks such as a lunch break. Adding them up for the week, often on a time card or timesheet, is how hourly pay and overtime are worked out.
- Hours and minutes (h:mm): the time as a clock shows it, such as 8:30 for eight and a half hours.
- Decimal hours: the same time as a number, such as 8.50, which payroll uses to multiply by your pay rate. 15 minutes is 0.25, 30 is 0.50 and 45 is 0.75.
- Regular and overtime hours: in the US, the Fair Labor Standards Act requires most hourly workers to get at least 1.5 times their pay rate for hours over 40 in a workweek. Some states and employers also pay overtime by the day.
Which calculator should I use?
- Work Hours Calculator: a whole week of shifts, with overtime, pay and a time card to print or save as a PDF.
- Hours Calculator: just the hours and minutes between one start and one end time, such as a single shift.
How to Calculate Work Hours
For each day, subtract the start time from the end time, then take away the break:
Add the days together for the week, then split off overtime and work out pay:
- End and Start: the times you clocked out and in. If the shift ends after midnight, add 24 hours to the end time first.
- Break: unpaid break time in minutes, such as a 30-minute lunch.
- R: regular hours, up to the overtime limit (usually 40 a week).
- O: overtime hours, the week's hours over the limit.
- Rate: your hourly pay. 1.5 is time and a half; some jobs pay double time (2) instead.
To turn minutes into decimal hours, divide by 60: 26 minutes is 26 ÷ 60 = 0.43 hours.
Example
- Monday from 9:00 AM to 5:30 PM with a 30-minute lunch: 8 hours 30 minutes − 30 minutes = 8:00 hours.
- From 8:47 AM to 5:13 PM with no break: 8:26, or 8.43 in decimal hours.
- A night shift from 10:00 PM to 6:30 AM with a 30-minute break: 6:30 + 24:00 − 22:00 − 0:30 = 8:00.
- Monday to Friday like Monday, plus Saturday from 9:00 AM to 12:00 PM: 43:00 hours, so 40.00 regular and 3.00 overtime.
- At $20 an hour: 40.00 × $20 + 3.00 × $30 = $890.00 before taxes.
How to Use the Work Hours Calculator
"I worked 9 to 5:30 with a half-hour lunch Monday to Friday, plus Saturday morning. How many hours is that, how much overtime, and what's my pay?" This calculator answers that.
Let's enter the numbers for this example in each box. They are already filled in when the calculator opens, so you can follow along and then change any box to match your own week.
- Name (Optional): Enter your name, or leave it empty. It appears only on the printed time card and PDF. Up to 60 characters.
- Report Date: This shows today's date. Change it to the pay date or the last day of the week if you like; it's printed on the time card.
- Hourly Pay: Enter 20.00, your pay per hour before taxes. Leave it at 0 to see hours only.
- Overtime After: Enter 40, the hours a week before overtime starts. Enter 168 for no overtime. It can be from 0 to 168.
- Overtime Pay: Choose 1.5× (time and a half). Choose 2× for double time, or 1× if overtime is paid at the normal rate.
- Round Times: Choose No rounding, or the nearest 5, 6 or 15 minutes if your employer rounds clock times.
- Each day: Enter a start time of 9:00 AM, an end time of 5:30 PM and a 30-minute break for Monday to Friday, and 9:00 AM to 12:00 PM with no break for Saturday. Leave Sunday empty. × beside a day clears it.
Calculate and Reset
Click Calculate to see your results. If a box has a problem, such as a start time without an end time or a break longer than the shift, a message pops up under that box instead. With the default numbers you get:
